Productive Therapist, Inc. ("Productive Therapist", "we", "us") operates productivetherapist.com, the Productive Therapist mobile app, SimpleIntake, and our virtual assistant, coaching, and training services. This policy explains what we collect, why, and what you can do about it.
Who this policy is for
Our members are mental health practice owners and their staff. We do not provide therapy and we do not knowingly collect protected health information about anyone's clients. If you post client information in our community, you are doing so against our Terms, and we will remove it.
What we collect
Information you give us. Name, email address, phone number, practice name, profile photo, and anything you choose to post in the community, including messages, comments, and uploads.
Information collected automatically. IP address, device type and operating system, app version, pages and screens viewed, time spent, and diagnostic and crash data.
Information from payment processors. If you purchase a membership, our processor handles your card details. We receive confirmation of payment and the last four digits of the card. We never see or store full card numbers.
How we use it
To operate your account and the community, deliver the courses and events you have access to, send notifications you have enabled, provide support, detect abuse, meet legal obligations, and improve the product. We do not sell your personal information, and we do not share it with third parties for their own marketing.
Who we share it with
Service providers who process data on our behalf under contract: our platform provider HighLevel, our payment processor, our email provider, and analytics and crash reporting tools. We also disclose information when required by law or to protect our rights or someone's safety. If the business is sold or merged, member information transfers with it, and we will notify you before it does.
What other members can see
Your name, profile photo, and anything you post is visible to other members of the communities you belong to. Assume everything you post is public within that community. We are not responsible for how other members use what you share.
How long we keep it
- Account information: for as long as your membership is active, and for 24 months after it ends, so we can restore your account if you return.
- Posts you made in the community: these remain unless you delete them or ask us to.
- Diagnostic and analytics data: 14 months.
- Records we must keep for tax or legal reasons: for as long as the law requires.
Deleting your account
You can delete your account from inside the app, under Profile, or by emailing [PRIVACY EMAIL]. Deletion removes your profile, your access, and your personal information within 30 days, apart from records we are legally required to keep. Tell us in the same request if you also want your posts removed.
Your rights
Wherever you live, you can ask us what we hold about you, correct it, get a copy, or have it deleted. Email [PRIVACY EMAIL] and we will respond within 30 days.
California residents have additional rights under the CCPA and CPRA, including the right to know what categories of personal information we collect and to opt out of sale or sharing. We do not sell or share personal information as those terms are defined. We will not discriminate against you for exercising any of these rights.
Security
We use encryption in transit, access controls, and vetted providers. No system is perfectly secure, and we cannot guarantee absolute security.
Children
Our services are for adults. We do not knowingly collect information from anyone under 18. If you believe a minor has given us information, email us and we will delete it.
Where your data is processed
In the United States. If you use our services from outside the US, you consent to that transfer.
Changes
We will post changes here and update the date above. Material changes will be announced in the app or by email.
